General Description:
Position Purpose: The Postgraduate Support Officer is the
position in the Postgraduate Support Team to provide the university
administrative and service responsibilities for postgraduate students based in
both SIP and Taicang, in collaboration with multiple offices and departments
across the university. The person will report to the Team leader of
Postgraduate Support Team in
Roles & Responsibilities:
1. Manage with enquiries from postgraduate students and their supervisors, related to managing their work progress;
2. Organise induction/orientation programme for new Master and PhD students;
3. Maintain students’ personal and academic records through student information system;
4. Monitor the study path of the PhD students in a pro-active manner via effective measures, such as reminders for each stage of their research study, to enable them to complete their research studies successfully;
5. Coordinate with academic departments and Education Development Unit on doctoral skills training programmes, Teaching Assistant trainings as well as PhD supervisor and internal examiner trainings;
6. Collaborate with academic departments to organise research seminars, workshops and other research events for postgraduate students to enrich their studies and research;
7. Support students’
conference participation and research visit to UoL (
8. Cooperate with Finance Office in relation to PGR student fee reimbursement (e.g., stipend payment, research visit, conference fund and UoL fee recharge);
9. Work closely with colleagues and other relevant offices or departments to create a nice encouraging and enabling research environment for research students;
10. Act as a committee secretary when required;

13. Undertake related project work as required;
Qualifications
1. Bachelor's degree with at least 5 years' relevant work experience or Master's degree with at least 2 years' relevant work experience
2. Proficiency of spoken and written English;
3. Excellent communication and interpersonal skills;
4. Excellent presentation skills, and skillful in Microsoft Office Software (Word, Excel, PowerPoint, etc);
5. Attention to details; highly organized; patient and follow-through;
6. Good team work spirit and problem solving capabilities;
Required Competencies and Skills:
1. Experience of working in the higher education sector
2. Experience of working in an international organization
3. Experience in data or records management and project management
