Job title: Timetabling Officer

Timetabling Officer is based in Registry, within the Centre of Academic Affairs. The post holder, reporting to the Team Leader of Timetabling Team, will carry out a variety of responsibilities, including the processing of student module registration, constructing the university timetables, communicating with enquirers regarding the timetabling businesses, managing and ensuring high quality data/records within the Student Information System and Timetabling System.
Roles & Responsibilities:
The responsibilities of this position shall include, but not necessarily be limited to the following:
1. To assist Team Leader in planning and implementing university-wide academic timetables, ensuring clash-free timetables for both students and staff and efficient use of university resources.
2. To operate timetable software (Syllabus Plus) and its affiliated web system to ensure timetabling data are collected from academic departments, timetables are published to all students and staff in an accurate and timely manner and support students to make optional module changes via online platform (Timetable plus).
3. To collaborate with departmental timetabling officers to collect timetable requirements and feedback, ensuring timetable policies are adhered to and exceptions are reported.
4. To work closely with colleagues from EQA and manage programme and module relevant data in the student information system (SITS), ensuring the student module enrolment data are consistent with the programme-module structures.
6. To co-ordinate the timetabling data preparation and synchronization among various systems, SITS, Syllabus Plus, Timetable Plus and other relevant university systems, working closely with relevant colleagues from other teams and officers, such as Management Information Technology and System office (MITS) and Academic Affairs and Systems Office.
7. To respond to inquiries from students and staff regarding module registration and class timetables.
Qualifications
Essential:
-Bachelor degree, plus 3 years of relevant work experience, or Master’s degree
-Bi-lingual (English and Chinese) with excellent written and spoken skills in both languages
-Experience in data management, data analysis and data processing
-Excellent skills of Excel are required, such as Formula, Function, PivotTable, Supported VBA knowledge, report design and so on.
Desirable:
-Proficient skills in Python are also preferred
-Experience of working within education environment
-Excellent interpersonal and communication skills, specifically, ability to cooperate effectively with team members and a wide range of people
-Being proactive and reflective, with the ability to identify the business work process, strong insight ability.
